In the era of the knowledge economy, optimizing knowledge management in grassroots academic organizations of university (called as University Student’s Theme Innovation Organization in this paper) is of great significance to the high-quality development of universitiy. Firstly, in terms of field survey, 200 field work samples are tracked and analyzed from the Industrial Engineering and Information Management & Information Systems programs between 2021 and 2025. Three characteristics of these fieldworks are summarized, which are the "problem-driven","proximity and diversity" and "integration of teaching and research", and common knowledge management challenges faced by such grassroots academic organizations are addressed. Secondly, by integrating knowledge-sharing theory, two key factors leading to low cross-entity knowledge-sharing frequency are identified related to insufficient trust. Thirdly, based on the SECI model of knowledge conversion, a dual-driven "trust + incentive" cross-entity knowledge-sharing platform is established, including processes for tacit knowledge archiving and governance mechanisms for research-practice knowledge conversion. The new system is a closed loop of "field research, problem diagnosis, scheme design, effect optimization". Finally, on the four stages of "acquisition, transfer, mediation, application, and innovation", the fieldwork processes of each profession are refined. Strategic suggestions for optimizing knowledge management are proposed from the aspects of building a diversified and accurate knowledge input system, implementing a dual "mentor advanced" guidance model, establishing a shared community, and innovation incubation platform.Relevant views highlight practical education and improves application scenarios of fieldwork, and offers a new path for talent cultivation.
